VIRTUAL EXHIBIT TIER 1 - INSTRUCTIONS

Please email us the following to coo@innovativedigestivehealth.org for the Virtual Exhibit:

1. Logos: Email us your logos (no less than 450x450 pixels) in JPEG. These will be used on brochure, course materials, website front page and website sponsor pages, email blasts and social media blasts.

2. Banners: Please see the "VIEW GOLDEN TIER TEMPLATE MATERIAL REQUIRED FROM SPONSOR HERE" link. These banners will also be used for social media blasts and hosted on the MAGIC and FITE Websites.

3. Website and Social Links: Email us the official website link, product links and social media links to be listed on your exhibit page.

4. Contact Information: Representative name, contact details, company address, etc. you want featured on your exhibit page.

5. Product or Services Information: Please send product names and categories to be listed on your exhibit page (for search engine) as well as relevant product PDFs. Please see the "VIEW GOLD TIER TEMPLATE MATERIAL REQUIRED FROM SPONSOR HERE" link.

6.Video Placement: Email us 2 video links (Youtube or Vimeo only) & description to be embedded on Exhibit Page.

7. Live Chat Info: Email us links or info on Zoom or other such meeting sessions hosted by your company to be listed on your exhibit page. These chat sessions will occur on both Aug 25th and Aug 26th.

8. Video Advertisement: One ten second advertisement between session. Please send us the file in mp4 format and no more than 99mb in size.

9. Email Blasts: Email us one or two promotional full email templates and any associated links to be sent as an email blast to attendees.

10. Search Tags: Please email us search tags for your products/services as related to disease state (pancreatitis, biliary strictures etc.) and endoscopic procedures/topics (Artificial Intelligence, Endoluminal surgery, 3rd Space endoscopy, POEM, etc. ).

11. Complimentary Free full-access registration: Name and email address of all representatives/staff who will be attending and/or hosting the exhibit.

12. Two-Page Virtual Handout to Participants: Virtual Conference Bag will contain two Handouts to be emailed to each participant

SYMPOSIUM - INSTRUCTIONS

1. Symposium Title

2. Symposium Presenter Name, Headshot and Biography

3. Symposium Length and Format: No more than 30 minutes. All symposia are pre-recorded talks.

Recorded video file should be sent to us either in mp4 or mpeg format

4. Conflict of Interest/disclosures: COI etc. should be disclosed prior to August 10th

5. Q and A session: Question and Answer session will occur twice on each conference day. Each speaker can chose one slot a day to be present for Q&A Session

Terms and Conditions

WEBSITE

All sponsors will be acknowledged and recognized on the front page and sponsor page of the website (www.magicendoscopy.com) from August 1st to November 30th, 2022. Satellite Symposium page will be a separate page showcasing the symposia. The Symposia will be presented in between didactic sessions and live cases. Product Learning Center section (product theater) will have individual dedicated pages to specific products with video placement and other product information.


PAYMENT

Exhibit and marketing opportunities’ payment must be received by Aug 15th, 2022, or the virtual exhibit space may be reassigned. Payment can be made by check, ACH or credit card. Checks must be payable and mailed to:

VIRTUAL EXHIBIT and SATELLITE SYMPOSIUM ASSIGNMENT

 While Virtual Exhibit space is unlimited, Satellite symposium spots are limited and are assigned on level sponsorships and then on a first-come, first-served basis. Any reassignment requirements will be notified by the sponsor to the organizer, or the organizer to the sponsor prior to Aug 15th, 2022. Approved banners, logos, promotional materials, information, contact, chat options, email blast text etc. must be sent by Aug 15th, 2022.


SATELLITE SYMPOSIUM & PRODUCT LEARNING CENTER

Please reserve your virtual exhibit space as soon as possible. Upon reservation, a form will be sent to the sponsor requesting for the topic, duration and product information for the symposiums and product theatre videos/stream (non-CME). All information and presentations must be sent by Aug 15th, 2022 to be reviewed and approved by the conference management


BANNERS, INSERTS AND PROMO MATERIAL

Image concepts and dimensions of all sized banners, logos, eposters, downloable PDFs, digital inserts and email blast-text should be emailed to the program coordinator for approval before Aug 15th, 2022. Email blasts/notifications to registrants and faculty begin on Aug 1st, 2022.


INVESTIGATIONAL PRODUCTS

To comply with the Food and Drug Administration’s Guidelines on Notices of Availability, any exhibits showcasing off-label or unapproved uses of drugs, devices, technologies, programs, products, or services must disclose that fact.



STAFFING AND SPEAKERS

Virtual Exhibits and Satellite Symposium session should ideally be staffed by your organization’s designated representative(s) and/or speaker during the designated hours. The names of designated personnel and speakers' COI must be sent to the organizer before Aug 15th, 2022 to receive their registration badges.



CANCELLATION POLICY

Requests for cancellation of reserved exhibit space must be made in writing to coo@innovativedigestivehealth.org or organizer@innovativedigestivehealth.org before Aug 15th 2022. After this date, refunds for reserved space will not be granted.



PROHIBITED PRACTICES

The following practices are prohibited during the conference:

•Distributing materials or literature other than company / product information.

•Streaming videos or presentations other than company / product information.

•Exhibit or sponsor representatives must not interrupt or disrupt any sessions.

•Exhibitors are not permitted to abandon their exhibit and shipping materials.

•Exhibitor personnel, vendors or third-party partners should refrain from any recording of any didactic lectures and live case sessions.

•Presentations accessible to registrants cannot

•be distributed outside of MAGIC/IDHER

•Registrations are non-transferable.

Please contact the course coordinator to make arrangements. Exhibitors shall be responsible for compliance within their assigned space and ensuring access to product pages.
